Receptionist
The receptionist is the first point of contact for the law firm and is critical to the client intake process. The receptionist is responsible for providing excellent service to clients and firm, and representing the firm’s brand at all times, which is to be compassionate, responsive and professional. Must genuinely love people and be willing to comfort callers who are often in times of crisis.
Duties include but are not limited to the following:
Professionally administers all incoming calls, ensures calls are redirected accordingly
Conducts initial client intakes including conflict checks, and match potential new clients with appropriate attorney
Logs new client intakes and referral sources in Client Relationship Management (CRM) software, CLIO Grow
Receives and processes website inquiries from new clients and follows up
Makes sure the office is neat, orderly and clean: Lobby, Conference rooms, Common areas
Ensures cleanliness of Reception Desk so that no client information, boxes, or stacks of paper are visible to clients
Applies working knowledge of Attorney-client privilege and confidentiality
Greets clients as they arrive in a professional, friendly and hospitable manner, and provide refreshments
Receives and sign for packages
Checks mail, scan date stamp and save all mail into client files according to firm processes
Files hard copies of correspondence, pleading, etc. into client files
Prepares documents for mailing
Schedules delivery and pick up with Courier service
Schedules court reporters for depositions, confirm or cancel as needed
Creates new client files (hard files and digital)
Prepares and send client intake summaries to attorneys
Regular file maintenance of client files
E-file court documents on CaseFile (DC) and Mdec (Maryland)
Prepares retainer agreements
Creates and maintains email contact list (MailChimp) and firm mailing list
Trips to post office to send packages and certified mail or pick up catering for meetings
Restocks office supplies throughout office
Organizes and stock supply closet
Other office duties as needed
Ability to lift 25lbs
Ability to work in office (this is not a work from home position)
Education and Work Experience:
Ability to handle emotional and sensitive clients and situations required
Some college or military experience preferred
Hospitality experience preferred
Prior receptionist or legal experience a plus
Spanish language fluency required

Salary Range: $52,000-$55,000, dependent on experience
